Account & Data Deletion

How to delete your The Broker Forge account, delete specific data, or revoke our access to a connected Google, Microsoft, or supplier account.

1. Your Deletion Options

You control your data in The Broker Forge. You can, at any time and without cost:

  • Disconnect a third-party integration (Google, Microsoft, DocuSeal, supplier portal) — removes our stored access tokens and any data tied to that integration.
  • Delete specific records (a customer, a document, a quote) — removes that record permanently within 24 hours, subject to short-term backup retention.
  • Export your data (CSV / JSON) before deletion so you keep a copy.
  • Delete your entire account — closes your brokerage workspace and deletes all associated Customer Data.

2. Disconnect Google Workspace

There are two independent ways to revoke our access to your Google account. Doing either is sufficient; doing both is fine.

From inside The Broker Forge:

  1. Sign in at the-broker-forge.vercel.app (or your custom domain).
  2. Go to Integrations in the sidebar.
  3. Find the Google Workspace card and click Disconnect.

This deletes the OAuth access and refresh tokens we stored for your brokerage. The disconnection is effective immediately.

From your Google account:

  1. Visit myaccount.google.com/permissions.
  2. Find The Broker Forge in the list of third-party apps with account access.
  3. Click Remove Access.

Google-side revocation invalidates our tokens immediately; our next scheduled reconciliation (within 24 hours) will clear the corresponding record from our database.

3. Disconnect Microsoft 365

From inside The Broker Forge:

  1. Integrations → Microsoft 365 → Disconnect.

From your Microsoft account:

  1. Visit myaccount.microsoft.com/consent, or in Outlook go to Settings → Privacy → Apps and services.
  2. Find The Broker Forge and choose Revoke.

4. Delete Your Entire Account

Self-serve account deletion is rolling out in-product. In the meantime, deletion is handled by support — it completes within five (5) business days from receipt of a verifiable request.

How to request deletion:

  1. Send an email from the email address on your account to info@thebrokerforge.com with the subject line "Account Deletion Request".
  2. Include your brokerage name and PUCT BR# so we can verify the request.
  3. Optionally, tell us whether you want us to first email you a data export (CSV of customers, contracts, commissions, and documents).

What happens when you request deletion:

  • Your subscription is cancelled and no further charges are made; fees already paid for the current period are not refunded except where required by law.
  • OAuth tokens for every connected integration (Google, Microsoft, supplier portals, DocuSeal) are immediately revoked and deleted.
  • Your brokerage workspace is put into a pending-deletion state for five (5) business days so you can cancel if the request was made in error.
  • After the pending window, all Customer Data is permanently deleted from active systems. This includes customers, contracts, commissions, documents, quotes, notes, and audit logs not required to be retained by law.
  • Backups age out within 35 days; data in backups is not restored to a new account and is purged on the normal rotation.
  • We may retain limited records required for legal or tax compliance (invoices, sub-ledger entries, abuse investigations) for up to seven (7) years, as described in our Privacy Policy.

We will send a written confirmation to the email address of record once deletion is complete.

5. Delete Specific Data Without Closing Your Account

Most per-record deletions can be performed directly in The Broker Forge — a trash-can icon on each row deletes the record immediately. If you need bulk deletion or deletion of data we generated on your behalf (parsed bills, AI-drafted proposals, stored supplier matrices), email info@thebrokerforge.com and we will complete the deletion within five (5) business days.

6. What We Do With Google User Data When You Disconnect

Consistent with the Google API Services User Data Policy (including Limited Use):

  • We do not retain the content of emails you sent through Gmail using the Service — those messages are transmitted to Google at send-time and not stored in our database.
  • On disconnect, we delete the OAuth access token and refresh token we stored.
  • Aggregated, de-identified metrics (for example, "the brokerage sent N emails this month") may be retained for billing-usage and abuse-prevention purposes.
  • We do not sell Google user data. We do not use Google user data to train AI models. We do not use Google user data for advertising.

7. End-Customer Deletion Requests

If an end customer of yours (a business whose rate data or contract is in your The Broker Forge workspace) asks you to delete their information, you can delete that record in-product. If you need our help, email info@thebrokerforge.com. Because you are the data controller for your end customers, we will act on your instruction rather than on the end customer directly.
